HOTEL
ROOM RESERVATION
PROCEDURES
The hotel will begin taking
reservations for this event on September 1, 2009. In order to assign
individuals to specific rooms, room reservations will be required. PCA
Guests must phone in their reservation requests to the following number:
800-248-4013 or book rooms through an online website/link that will be
provided for use by PCA Guests at no charge.
PCA Guests must contact the Hotel by
April 11,
2010,
identify themselves as part of the Papillon National Specialty, provide a
credit card, specify type of room, bed type (i.e. king, queen/queen, or
suites), check-in and check-out dates.
Any requests for special room arrangements must be made at this initial
reservation. The Hotel will be included on the attendee mailing list to help
anticipate when reservations are likely to begin arriving. The Hotel does
not confirm reservations in writing and room types cannot be guaranteed,
however the Hotel will use commercially reasonable efforts to inform PCA
Guests if the type of room or, bed requested (such as a queen/queen to
accommodate 4 people) is not available.
As
of April 11, 2010, all room nights which have not been reserved will
be deemed to be room nights which PCA Guests will not use, and will
be returned to the Hotel’s general inventory. Reservation requests from PCA
Guests received after April 11, 2010 will be accepted on a space available
basis, at the higher of the contract rate or the rate available at that time
GUEST ROOM CHARGES
Each PCA Guest will pay for
his/her own account upon departure. When each reservation is made by a PCA
Guest, the Hotel will require a credit card guarantee or a deposit equal to
the room rate and tax for such reservation. Upon check-in, each PCA Guest
will be required to present a valid credit card, on which an amount
of sufficient pre-authorization can be obtained to cover the room and tax
charges for the length of such Guest’s stay, plus the anticipated use of the
Hotel’s ancillary services. A PCA Guest’s
deposit is refundable only if the Hotel receives notice of cancellation on
or before
April 11, 2010. If
a PCA Guest cancels his/her reservation after April 11, 2010 or does
not show, his/her credit card shall be charged a two night stay at the rate
set forth in this Contract, except to the extent that the Hotel is able to
fill the reserved room for all or any portion of the stay reserved by such
PCA Guest. PCA agrees
to include a statement in its premium list for the National, which shall be
outlined and in bold, setting forth the foregoing cancellation policy,
including the charges PCA Guests will incur if they do not cancel prior to
April 11, 2010. PCA will appoint an on site liaison to assist the Hotel in
resolving any incidents occurring with a PCA Guest, including costs incurred
by the Hotel to repair damage
to a guest room for which a PCA Guest is responsible. |
